POSITION PURPOSE
To attend to front office and all visitors needs and deal with inquiries on the phone and face to face. PABX Panasonic Switchboard, 150 Extentions, Approx 450 calls per day between 2 operators
KEY PERFORMANCE AREAS (Maximum of 5 KPA’s)- KPA’s is the main/key tasks that you’ve been appointed to do. Underneath each KPA the task will be described in more detail.
Switchboard1.1 Ensuring all calls are answered and timeously within 3 rings in the correct manner.1.2 Transferring calls promptly to the respective staff member and give feedback to customers every 30 seconds if lines are busy.1.3 Ensuring Switchboard opens strictly at 07h55 from Mondays to Fridays and that tea and lunch breaks are adhered to.1.4 Ensuring the switchboard closes at 17h00 on Mondays to Fridays.
Reception Assisting with human traffic control within the reception area. Liaise with suppliers / visitors and ensure their arrival are announcing to the respective staff members and ensuring that suppliers/visitors are seated in the reception lounge area. Assisting with queries as much as possible, but not the detriment of the core functions as stipulated above. Maintaining a professional manner at all times while ensuring that personal calls and personal visitors at reception desk are kept to an absolute minimum.
Ensuring that the reception desk is always kept tidy and presentable with no evidence of food or drinks seen by customers, ensuring that all personal eating is done in the canteen area. Ensuring that no parcels are kept at reception overnight.
Matric / Grade 12
Computer Literacy – MS Office (Work, Excel, Outlook)
Minimum 6 months experience in reception
Reception course will be advantageous
